Item

Menu Inventory → Items (`/definitions/items`). Define products and services with prices, units, HSN/SAC, GST, stock types, barcodes, Excel import, Items Library, Bulk Stock Adjustment, and Generate Sales Invoice from cards. Open item transaction history for movements.

Create

Create Product or Service

Add Item captures Item Type, prices, units, HSN/SAC, tax, brand/category, stock type, then Stock Details and Barcode Details so the master is complete before billing.

Open Add Item

  1. 1Go to Items → Add New Item
  2. 2Page title: Add Item — fill fields, then Save
  3. 3Continue with Stock Details (products) and Barcode Details as needed

Main fields (every item)

  • Item Type — Product or Service (required)
  • Name — Enter Item Name / Enter Item
  • Sales Price (required) and Purchase Price (optional currencies when multi-currency is on)
  • Base Unit (required) — tip: set the smaller unit as base; use + Add Unit for conversion units
  • HSN/SAC Code
  • Gst Tax Rate and optional + Add CESS (Amount, Rate, or Rate and Amount)
  • Brand (Product) or Service Group (Service); Category
  • Products only: Stock Type — Trading Product, Raw Material, Semi Finished, Finished Product (Finished → Manufacture / Product Cost)

Core commercial and tax identity is set on the main form before stock and barcode tabs.

Stock Details (Product)

  • Tab: Stock Details → +Add Stock Details / Manage Stocks
  • Opening Stock Balance (with unit)
  • As of Date
  • Location Info
  • Low Stock Balance — feeds Dashboard low-stock KPIs
  • Price At for valuation context when capturing opening stock

Stock Details is product-only — services skip this tab and do not hold inventory quantity.

Product

Stock Type, Stock Details, quantities on the list; Finished Product shows Product Cost from Manufacture on edit.

Service

No stock tab; Service Group instead of Brand; still has prices, SAC, tax, and Barcode Details.

Tip

You can also type a new name on an invoice line — Billoxy can auto-create the Product or Service (toast: Product/Service added successfully) so billing never blocks on a missing master.

Frequently asked

Is Opening Stock required on create?+

You can save the item first, then add Stock Details. If you open the stock modal, Opening Stock Balance and Date are required together.

Can I add multiple units?+

Yes. Set Base Unit, then + Add Unit with a Conversion Rate (for example X unit = Y base).
